What is the Workflow Problem Score?

The Workflow Problem Score is a short diagnostic for small businesses that know an operational workflow feels slow, manual, or unreliable but do not yet know what to automate. It asks about the workflow, tools involved, frequency, owner, and business impact, then classifies the likely problem type, severity, fix complexity, and best next step. The answer may be a no-build process cleanup, a CRM rule, a Zapier or Make adjustment, a dashboard, a script, a custom API integration, or AI if extraction, classification, or drafting would genuinely help. It is designed to prevent businesses from buying another tool before they understand where the workflow is actually breaking. The score gives an owner a plain-English starting point: what is broken, why it matters, and which small fix should be tested before a larger automation project.

The score makes the next step obvious

Problem type

Which workflow problem is most likely creating drag: lead, data, handoff, intake, visibility, tool, or ownership.

Severity

How often the problem happens and what it costs in response time, rework, lost leads, or founder attention.

Fix complexity

Whether the smallest fix is a rule, process cleanup, script, integration, dashboard, or AI.

Best next step

No-build advice, Workflow Automation Audit, Workflow Fix Sprint, or larger operating-system buildout.

What a useful score can look like

Problem

Website forms and email inquiries land in separate places, so nobody owns the first response.

Severity

High, because every slow reply can turn into a lost lead or a rushed follow-up.

Smallest fix

Route every inquiry into one queue, assign one owner, and send a Telegram or Slack alert within 60 seconds.

Not needed yet

No AI chatbot, CRM migration, or custom platform until the basic routing path is reliable.

First metric

Median response time and number of leads waiting without an owner.

Before you submit the score

Is the Workflow Problem Score a sales call?

No. It is a low-friction diagnostic first. If there is no clear implementation worth doing, bzOS will say that instead of forcing a project.

What do I need to prepare?

A short description of the workflow that feels slow, manual, or unreliable. Tool names and rough volume help, but you do not need diagrams or technical specs.

Will the recommendation always involve AI?

No. Sometimes AI helps. Often the best fix is a rule, script, Zapier or Make cleanup, CRM setting, dashboard, API integration, or clearer ownership.

What happens after I submit it?

bzOS reviews the workflow, identifies the likely problem, and replies with the most practical next step. If a build is worth scoping, the next step is a Workflow Automation Audit or focused Workflow Fix Sprint.
